Orders & the familiar Excel workflow

  • Preview workbook validation before committing imports and export the six original sheets with extra transaction-history sheets.
  • Reimport edited exports to update matching orders and add new ones without replaying posted receipts, dispatches, invoices or payments.
  • Track customer and supplier references, order owners and expected dates on multi-line sales and purchase orders.
  • Link procurement to customer order lines for traceability and preserve unassigned DIRECT workbook source labels.

Stock, purchasing & dispatch

  • Maintain products, opening stock, reorder quantities and a stock-movement ledger.
  • Record full or partial purchase receipts with ordered, received, returned, net, remaining and excess quantities.
  • Return goods against original supplier receipts, reopening the outstanding inward quantity.
  • Prevent excess receipts unless an authorized manager records a reason.
  • Post full or partial customer dispatches after checking physical stock and remaining quantities.
  • Review linked inward quantities, dispatch readiness, shortages and overdue dispatches.
  • Record customer returns against original dispatches, restore stock and create credit notes for invoiced returns.

Invoicing & collections

  • Create printable invoices for outward movements with lines, rounding and snapshots of company, customer, product, rate and tax details.
  • Record partial payments, invoice due dates, outstanding amounts, follow-up promises and missed promises.
  • Apply customer credits, record externally paid refunds and reverse payments while retaining transaction history.

Reminders & audit

  • Review reminders for pending or overdue inward, excess material, ready or short dispatches, overdue dispatches and unbilled outward movements.
  • Track missing supplier confirmations, overdue invoices and missed collection promises.
  • Refresh in-app reminders while running and configure an internal scheduled email digest with selected reminders, recipients and delivery times.
  • Test SMTP settings, inspect delivery history, retry eligible messages and review important actions by named user.

Local operation, roles & backups

  • Use administrator, manager, sales, warehouse, accounts and viewer roles with company assignments and action permissions.
  • Store business data locally in SQLite on one computer and run the core workflow locally after installation.
  • Create company backups and restore as a new company following an integrity check.
  • Take automatic database snapshots at startup and hourly while the application is running.

PRODUCT SCOPE

What to know about the pilot

  • The current pilot is for one computer and covers orders, inventory, dispatch, invoicing and customer collections. It is not a full accounting or complete BUSY replacement.
  • SMTP, network access and the running app are required for scheduled emails. Server acceptance does not confirm a recipient read the message.
  • The workbook does not supply all rates and tax details needed for priced orders; those must be entered or supplied separately.
